What makes a booking system actually work

Most booking flows fail for boring reasons: too many steps, unclear availability, and no reminder. Here's what we've learned building them.

We've built booking flows for barbershops, boxing gyms, tattoo studios and tour operators. The businesses look nothing alike, but the flows that succeed share the same handful of traits.

The first is fewer steps. Every additional screen between wanting an appointment and having one loses people. If a customer can pick a service, pick a time, and confirm — that's usually enough.

The second is honest availability. Showing slots that turn out to be unavailable is worse than showing fewer slots. Real-time availability, wired to the calendar the business already uses, prevents the double-booking phone calls that make owners abandon the system.

The third is reminders. A booking system without automated reminders just moves no-shows around rather than reducing them. A message the day before is the cheapest revenue protection available.

Finally: it has to work on a phone at arm's length, one-handed, on a slow connection. That's where the bookings actually come from.
